Using CT Text

Getting Started With CT Text App

  • Click on the CT Text icon in the Microsoft Teams tool bar.  You’ll find this on the left-hand side of the screen.
  • Click on the New Message ‘Plus’ icon in the Messages tab to send a message to a new recipient.
  • The new message window will now be displayed.  Enter the recipient(s) cell phone number in the To: box.  The cell number must be entered in E.164 format, meaning the plus sign, country code, and full telephone number.  For US numbers, that means +1-XXX-XXX-XXXX (without the dashes.)

  • Now you can type your message in the “Type a message” box at the bottom of the message window.
  • Click on the send button or press Enter on your keyboard to send the message.  The status of your text will then be shown in the lower right corner of the message bubble.  A double check mark indicates that your message was delivered.
  • Any replies from your contact will be displayed in the Messages window.

Managing Contacts:

Add a New Contact

  • Select the New Contact button in the Contacts tab.
  • Enter the contact details, including the telephone number, and click on the Save Contact button to store the contact.  Remember, telephone numbers must be entered in E.164 format, meaning the plus sign, country code, and full telephone number.  For US numbers, that means +1-XXX-XXX-XXXX (without the dashes.)

Edit an Existing Contact

  • Select the contact from the list of contacts and then click on the Edit button.  Click on the Update button when your changes are complete.

Delete an Existing Contact

  • Select the contact to be deleted and right click to display the Action menu.  Select Delete from the menu.
  • To delete multiple contacts at once, highlight the contacts you wish to delete by pressing the Ctrl key on your keyboard and using your mouse to select each contact.  Right-click on any one of the highlighted contacts to display the Action menu.  Select Delete to remove the highlighted contacts.

Import Contacts Using Copy/Paste

  • Multiple numbers can be copied, pasted, and saved as contacts.  Remember, telephone numbers must be entered in E.164 format, meaning the plus sign, country code, and full telephone number.  For US numbers, that means +1-XXX-XXX-XXXX (without the dashes.)
  • Click on the New Contact button/tab and select the Paste Phone Numbers tab.  Ensure that each telephone number is separated with a comma or semi-colon and click on the Paste Numbers button.

  • You can use the resulting contacts as is or edit to add names and other information.

Import Contacts Using CSV

  • Click the New Contact button and select the Import Phone Numbers CSV tab to display the import page.  Download the import template using the link provided and open in Excel.

  • Add contacts and save the file to this sheet, or save contact in the same format.  Remember, telephone numbers must be entered in E.164 format, meaning the plus sign, country code, and full telephone number.  For US numbers, that means +1-XXX-XXX-XXXX (without the dashes.)

  • Click on the Choose File button and select the file to import.  Click Open.  Click the Read.csv button to import the contacts.  Ensure that each number saved successfully by reviewing the results.

Sending Messages to Contacts

  • Select the contact you wish to text and right-click to display the Action menu.  Select the menu option Send Message to send a text. The Messages tab will be displayed and contain the conversation for that contact.
  • To send a message to multiple contacts simultaneously, highlight the multiple contacts you wish to contact by pressing the Ctrl key on your keyboard and using your mouse to select each contact.  Right-click on any of the highlighted contacts to display the Action menu.  Select the menu option Send Message to send a text to all the selected contacts.
